Key Holder
1. Key Holder Responsibilities & Designation
π Authorized Key Holders
β
The Store Manager (SM) and Assistant Store Manager (ASM) are the primary individuals entrusted with store keys.
β
The Store Manager is required to designate a third key holder for emergency situations.
β
The third key holder may be a member of the sales team or maintenance team and must be approved by Operations Manager.
π¨ Unauthorized duplication or transfer of store keys is strictly prohibited.
2. Compensation & Availability Expectations
π Additional Compensation for Third Key Holder
β
The designated third key holder will receive an additional $1 per hour as compensation.
π Availability & Emergency Readiness
β
The third key holder must be available when needed to open or close the store, even on scheduled days off, if an emergency arises.
β
In case of emergency store access needs, the designated key holder must:
- Respond promptly when called.
- Be physically present to open or secure the store as required.
β Key holders must adhere to all security protocols and ensure the store remains locked when not in operation.
π¨ Failure to fulfill key holder responsibilities may result in removal from the role and loss of additional compensation.
3. Key Holder Agreement Requirement
π Mandatory Key Holder Agreement
β
Every key holder (SM, ASM, and third key holder) must sign a Key Holder Agreement Form.
β
The agreement outlines:
- Security responsibilities related to store access.
- Confidentiality of key usage.
- Consequences for failure to adhere to policy.
- Get their own password for security alarm system.
π¨ Any lost, stolen, or compromised keys must be reported immediately to Store Management and the Operations Manager.
4. Policy Compliance & Accountability
π Why This Policy Exists
β
This policy ensures that store access is securely managed at all times.
β
By designating a responsible third key holder, Westside Market maintains operational continuity and preparedness in case of emergencies.
β Β The designation of a Third Key Holder is strictly intended for emergency situations only. This role is not to be utilized as a substitute for covering a Store Managerβs scheduled day off, vacation period, or other planned absences.
For clarification:
-
If a Store Manager is scheduled to be off and the Assistant Store Manager is scheduled to work but becomes unavailable due to an unforeseen emergency, responsibility for store coverage shall revert to the Store Manager, not the Third Key Holder.
-
Under no circumstances shall the Third Key Holder be used as a replacement for planned or foreseeable absences of management personnel.
π Consequences of Non-Compliance
β Unauthorized sharing or duplication of keys may result in immediate removal of key holder privileges and further disciplinary action.
