Time Clock & Attendance Accountability

1. Purpose

The purpose of this policy is to ensure:

  • Accurate payroll processing

  • Fair and consistent timekeeping

  • Accountability across all locations

  • Protection of company resources

  • Professional workplace standards

Clocking in and out properly is a basic expectation of employment and reflects personal responsibility and operational integrity.

2. Policy Overview

All employees are required to:

  • Clock in at the start of their scheduled shift

  • Clock out at the end of their scheduled shift

  • Clock out and back in for meal breaks (if applicable)

  • Use the approved timekeeping system only

  • Personally clock themselves in and out

Failure to follow these procedures disrupts payroll accuracy and store operations.

3. Clock-In Procedures

Employees must:

  1. Arrive on time and ready to work.

  2. Clock in no earlier than 5 minutes before their scheduled shift unless approved by management.

  3. Be in uniform and ready to begin duties immediately after clocking in.

Managers are responsible for monitoring daily punches for accuracy.

4. Clock-Out Procedures

Employees must:

  1. Clock out immediately after completing their shift.

  2. Clock out for all unpaid breaks.

  3. Not remain clocked in after leaving the building.

Under no circumstances should an employee leave the premises while still clocked in.

5. Prohibited Actions

The following actions are strictly prohibited:

  • Clocking in or out for another employee

  • Asking another employee to clock in/out for you

  • Failing to clock in or out

  • Requesting repeated manual time edits

  • Remaining clocked in while not actively working

  • Altering time records without approval

These actions are considered time theft and may result in disciplinary action.

6. Missed Punch Procedure

If an employee forgets to clock in or out:

  1. Notify the Store Manager immediately (same day).

  2. Submit a Time Adjustment Request with:

    • Date

    • Correct time in/out

    • Reason for missed punch

Time edits must be approved by Operations Manager.

Repeated missed punches will result in corrective action.

7. Manager Responsibilities

Store Managers must:

  • Review time punches daily

  • Address discrepancies immediately

  • Monitor patterns of late arrivals or missed punches

  • Ensure compliance across the team

  • Approve time edits only when justified

Operations Manager will audit time records periodically.

8. Accountability & Disciplinary Action

Failure to follow timekeeping procedures will result in:

1st Occurrence – Verbal Warning
2nd Occurrence – Written Warning
3rd Occurrence – Final Warning
4th Occurrence – Termination

Severe violations (including clocking in for another employee or intentional time theft) may result in immediate termination.
